This Privacy Policy explains how Soma Chiropractic Inc., a corporation organized under the laws of the State of Florida, doing business as Soma Chiropractic ("Soma Chiropractic," "we," "us," or "our"), collects, uses, and shares information when you visit www.somachiropractic.com (the "Website").

We are a chiropractic practice in Delray Beach, Florida. We take your family's privacy seriously, and we have written this policy to be read and understood rather than skimmed.

Important: this policy covers our website, not your patient record

 

There are two different kinds of information involved in a chiropractic practice, and they are governed by two different sets of rules.

Information about website visitors. What you submit through a form on this Website, and what is collected automatically when you browse it, is covered by this Privacy Policy.

Information in your patient record. Your health history, examination findings, scan results, care plans, treatment notes, and everything else we record in the course of your care is not covered by this Privacy Policy. That information is confidential under Florida law governing patient records and under our professional obligations as a licensed healthcare provider. We do not disclose it without your written authorization except where the law requires or permits it.

Please do not send health information through this Website. Our contact form is intended for scheduling questions and general inquiries. Please do not use it to describe symptoms, diagnoses, medications, test results, or your child's medical history. Information submitted through a website form travels over the internet, is stored by our website provider, and does not receive the protections that apply to your patient record. If you need to share health information with us, we will give you a secure way to do it at intake or at your visit.

Information we collect

Information you give us

Through our contact form, we collect your first name, last name, email address, phone number, and whatever you choose to write in the message field.

Through our newsletter signup, we collect your email address and any name you provide.

Through our free guides, we collect your name and email address. When you request a guide, it is delivered to you by email through Flodesk, and your email address is added to our mailing list. You can unsubscribe at any time using the link in any email.

Through blog comments, if you leave a comment on our blog we collect the name, email address, and comment content you submit, along with any account information you use to sign in. Comments may be publicly visible, so please do not include personal health information in a comment.

We collect this information only when you choose to give it to us.

Information collected automatically

When you visit the Website, certain information is collected automatically by our website platform and by the analytics and advertising tools described below. This typically includes your IP address, general geographic location derived from that IP address, browser type, device type, operating system, the pages you view, how long you spend on them, and the website or ad that referred you.

When you click "Schedule Appointment," you leave our Website and go to a scheduling system operated by ChiroHD, our practice management provider. Anything you enter there is collected by ChiroHD under their privacy practices, not through this Website. Information you provide to ChiroHD as part of becoming or being a patient becomes part of your patient record and is treated as confidential, as described above.

How we use information

We use the information we collect to:

  • Respond to your inquiry and contact you about scheduling

  • Send appointment reminders and other messages about scheduling

  • Send our email newsletter, if you have signed up for it

  • Operate, maintain, and improve the Website

  • Understand how visitors find and use the Website

  • Measure the performance of our advertising and show ads to people who may be interested in our practice

  • Comply with legal obligations and protect our legal rights

We do not sell your personal information. We do not rent or trade it. We do not share your name, email address, or phone number with advertising networks or data brokers for them to market their own products to you.

Who we share information with

We share information collected through this Website only with the service providers who help us operate it, and only for that purpose.

Wix hosts this Website. Wix receives anything you submit through a form on the site, along with the browsing information collected automatically, and delivers your form submissions to us.

Flodesk sends our email newsletter and delivers our free guides. Flodesk receives the email address and name of anyone who subscribes or requests a guide.

Google provides Analytics and Tag Manager. Google receives browsing information collected automatically, including your IP address, which we use to understand Website traffic and measure our advertising.

Meta operates Facebook and Instagram. Through the Meta Pixel, Meta receives browsing information collected automatically, including your IP address and the pages you view, which we use to measure advertising performance and show our ads.

ChiroHD provides our scheduling and practice management system. ChiroHD receives nothing from this Website. Our "Schedule Appointment" button links you to their system, where you enter your information directly with them.

This list covers information collected through the Website. The systems we use to run the practice itself, including our practice management system and the messaging service that delivers appointment reminders, handle patient information rather than Website information, and are not listed here.

We may also disclose information if required by law, in response to valid legal process, or where necessary to protect the rights, safety, or property of our patients, our practice, or others.

Advertising and analytics

We advertise our practice on Google and on Meta platforms (Facebook and Instagram). To do this, our Website uses Google Analytics, Google Tag Manager, and the Meta Pixel.

These tools record that a browser visited particular pages on our Website and send that information to Google and Meta. This lets us understand which ads bring families to our site, and it allows Google and Meta to show our ads to people who have visited us. Because our Website is about chiropractic care for pregnancy and children, the pages you visit may suggest an interest in those topics.

You can limit this. Your options include:

  • Meta: adjust your ad preferences in your Facebook or Instagram account settings

  • Google: visit Google's Ads Settings, or install the Google Analytics Opt-out Browser Add-on

  • Your browser: block third-party cookies, or use a private/incognito window

We do not control how Google or Meta use information once they receive it. Their own privacy policies govern that, and we encourage you to read them.

Text messages

 

If you give us your phone number through this Website, we may call or text you about your inquiry and about scheduling.

Once you are a patient, we may also send text messages about your appointments through our practice management system and the messaging service it uses.

Appointment reminders and promotional messages are treated separately, and we ask for your consent to each separately. Consenting to appointment reminders does not sign you up for marketing messages.

Review requests. We sometimes send patients a message inviting them to leave a review of our practice on Google. These invitations are sent to patients generally, not selectively based on how satisfied we believe someone is. Leaving a review is entirely voluntary, has no effect on your care, and you may opt out of these messages the same way you opt out of any other message from us.

You may opt out of text messages at any time by replying STOP. You may opt out of our email newsletter using the unsubscribe link at the bottom of any newsletter. Opting out of marketing messages will not affect essential communication about your appointments or your care.

Message and data rates may apply. Message frequency varies.

Children's privacy

 

We care for infants and children, and we are glad to hear from parents about their children.

This Website is not directed to children, and we do not knowingly collect personal information from anyone under 13. When information about a child is provided to us, we expect it to come from that child's parent or legal guardian.

If you believe a child under 13 has provided us personal information through this Website, please contact us at the address below and we will delete it.

Information about our minor patients, provided by their parents or guardians in the course of care, is part of the patient record and is kept confidential as described above. It is not governed by this Website policy.

Patient photographs, testimonials, and stories

 

We are proud of the families we care for, and we sometimes share photographs, testimonials, and patient stories on our website and social media.

We never do this without written permission. Before we publish any photograph, video, name, or story that could identify you or your child as our patient, we obtain a signed written authorization from you, or from a parent or legal guardian if the patient is a minor.

Signing an authorization is entirely voluntary. It is never a condition of receiving care, and declining will never affect how you or your child are treated here. You may revoke an authorization at any time by contacting us in writing, and we will stop using the material going forward, though we cannot recall copies that have already been shared or reposted by others.

Reviews you choose to post yourself on Google, Facebook, or other public platforms are your own disclosure, made on your own account. We do not control those platforms.

If there is a data breach

 

If information we hold about you is accessed or acquired without authorization, we will notify you and any required authorities as the law requires, within the timeframes it sets. Florida law and federal law both impose notification requirements, and we will follow whichever applies.

How we protect information

 

Soma Chiropractic is a solo practice. Dr. Correa is the only person with access to patient records, which meaningfully limits who can see your information.

 

The safeguards we maintain:

  • Patient records are kept electronically in our practice management system. We do not maintain paper patient records.

  • Access to patient records is limited to Dr. Correa alone. There are no shared logins.

  • Practice devices are password protected and lock automatically when not in use.

  • Current antivirus and security software is maintained on practice devices.

  • We do not offer a guest or public Wi-Fi network at our office.

  • Patient communication goes through the office phone and our practice systems. We do not conduct patient communication through personal email or personal devices.

  • Our Website uses SSL encryption, indicated by the padlock in your browser.

 

We have deliberately listed only the measures we genuinely have in place.

 

No method of transmitting information over the internet, and no method of electronic storage, is completely secure. While we work to protect your information, we cannot guarantee absolute security.

Where your information is processed

 

All processing of information collected through this Website takes place in the United States.

How long we keep information

 

We keep website inquiry information for as long as needed to respond to you and to maintain a record of our correspondence, and then for a reasonable period afterward.

Newsletter subscriber information is kept until you unsubscribe.

Patient records are retained according to the requirements that apply to chiropractic records in Florida, which are longer than the periods above.

If you do not complete our contact form, we will not be able to respond to an inquiry submitted through the Website, though you are always welcome to call us at the number below. Not providing information through this Website will never affect the care you receive from us.
